Privacy Policy – Xanthelasma Treatment / Xanthel®

This policy explains how we collect, use and protect your personal information when you visit xanthelasmatreatment.com or buy Xanthel®. We are based in the United Kingdom, so we handle your information in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Where we sell to customers in the European Union, we also follow the EU General Data Protection Regulation (EU GDPR).

2. What information we collect

  • Contact and order details: your name, email address, delivery address, phone number and order history.
  • Payment details: payments are handled securely by PayPal. We never see or store your full card or bank details.
  • Skin information: details you choose to share about your skin type or the appearance of your xanthelasma, so we can supply the Xanthel® formulation suited to your skin.
  • Photographs: photos you choose to send us, for example so we can advise on the right formulation.
  • Website usage: information collected through cookies, such as pages visited and the device and browser used.
  • Messages: anything you send us through our contact form, email or phone.

3. Skin information and photos

Information about your skin, and photos of your skin, may be treated as health data, which the law gives extra protection. We only collect and use it with your explicit consent, which you give when you choose to send it to us. You can withdraw your consent at any time by emailing us, and we will delete it.

Our before and after photo offer

We offer customers 50% off in return for sharing before and after photos of their results. Taking part is entirely optional. If you take part:

  • we will ask for your written consent before using any photo;
  • your photos may appear on our website, including our before and after gallery, and in our marketing;
  • we will never publish your name or any other details that identify you, although photos may show the area around your eyes;
  • you can withdraw your consent at any time by emailing us, and we will remove your photos from our website and stop using them in new marketing. Your discount is not affected.

4. How we use your information and our legal basis

  • To process, deliver and support your order: necessary to perform our contract with you.
  • To match the right Xanthel® formulation to your skin: your explicit consent.
  • To use before and after photos from our photo offer on our website and in marketing: your explicit written consent.
  • To keep financial and tax records: to meet our legal obligations.
  • To answer your questions: our legitimate interest in providing good customer service.
  • To understand and improve our website and products: our legitimate interests, and your consent where cookies require it.
  • To send you marketing emails: only with your consent. You can unsubscribe at any time.

5. Who we share your information with

We never sell, rent, trade or lease your personal information to anyone. We only share it with trusted providers who help us complete your order, and only as much as they need to do their job:

  • Payments: PayPal
  • Delivery: Royal Mail and Evri
  • Website and email hosting: WPX Hosting
  • Website analytics: Clicky

We may also share information if the law requires us to.

6. International transfers

Because we deliver worldwide, and some of our service providers are based outside the UK, your information may be transferred to other countries. When it is, we make sure it is protected by appropriate safeguards, such as UK adequacy regulations or approved contract terms (the International Data Transfer Agreement or Standard Contractual Clauses).

7. How long we keep your information

We keep your information for as short a time as possible. Your order details are held only in our secure online shop (WooCommerce), on our own website.

  • Order details in our shop: once your order has been delivered, we automatically remove or anonymise your personal details from our shop after [90] days.
  • Financial records: UK law requires companies to keep basic sales records, such as invoices, for 6 years. We keep only the minimum information needed for this.
  • Skin information: deleted once your order has been supplied.
  • Photos shared through our photo offer: kept for as long as they are used on our website or in our marketing, or until you withdraw your consent.
  • Contact form messages and emails: deleted once your question has been dealt with, and within [12] months at most.
  • Marketing details: until you unsubscribe.

8. Cookies

We use cookies to make the website work and, with your consent, to understand how visitors use it. You can accept or refuse non-essential cookies through our cookie banner, and change your browser settings to block or delete cookies at any time.

9. Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to limit how we use your information, or object to how we use it;
  • ask us to transfer your information to another organisation;
  • withdraw your consent at any time, where we rely on consent.

10. How to complain

If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint, or, if you live in the EU, to the data protection authority in your country.

11. Children

Our products and website are intended for adults. We do not knowingly collect information from anyone under 18.

12. Keeping your information safe

We use secure (HTTPS) connections, trusted payment providers and restricted access to protect your information.
